New Patient Checklist

It is crucial when choosing a pediatric practice for your children that you have given serious consideration to the fit between the practice philosophies and your own.


Excellent care happens when the physicians and office staff are aligned with your family priorities and philosophies regarding medical care. Only then can shared decision-making be based on mutual respect.


Please read the following checklist carefully to be sure we are the appropriate medical home for your children.

  • Insurance

    Make sure we participate with your insurance plan


    It is your responsibility to know the limits and coverage of your particular health insurance policy, to show your cards to us at each visit, and be prepared to pay any copays at the time of service.


    Our billing staff will do their best to assist you with insurance questions; however, If you have questions about your coverage, it is best check with your specific insurance company.


    Our office does not want you to be surprised by a bill, but must always bill your health plan based on federal guidelines and the actual services provided.

  • After Hours

    Please call 911 if there is a life-threatening emergency.


    What to Do if Your Child Needs Immediate Care?


    24 hours per day, you can call our main number at 703-344-7330.   There is always a medical provider from the practice on call 365 days per year. 


    Our after-hours line is intended for urgent and emergency situations.  These calls incur a $20 fee to provide full staffing at all hours. Questions about infant care, feeding, medication refills, and other nonurgent matters are best sent to the patient portal or called in during our regular business hours for no fee.


    You may wish to check the "Is Your Child Sick?®" section of our website for helpful information before using this service. 

  • Co-pays and Billing

    Families are expected to present an insurance card at each visit. All co-payments and past-due balances are due at the time of service. Co-pays not paid at the time of service will incur an additional charge of $20.00.  Our check-in process on Phreesia will confirm your current balance and the amount of your co-pay.

  • Vaccines

    As a practice we require that patients keep up to date with the vaccine schedule published and endorsed by the CDC, ACIP, and AAP.  We reserve the right to discharge families who elect not to vaccinate or choose an alternative vaccine schedule.   


    All the providers at Einstein Pediatrics adhere to the routine schedule with our own children because of our confidence in the safety and importance of immunizing children.  We are happy to discuss questions regarding vaccines to help you understand their importance and safety.  For those not choosing to follow the recommended schedule, we will help you find another provider who better fits your family's needs.

  • Scheduling Appointments

    For problem visits, whether it be an illness, chronic symptoms, or even behavioral concerns, please call to schedule.  We offer same day appointments for time sensitive or more urgent problems.  Staff may ask follow up questions in order to determine the amount of time to allot to the appointment. 


    For well visits*, please call our main phone line or use the portal to self schedule your visit.   Once scheduled, you will receive several automated reminders as the appointment draws near.  Messages will be sent to an email address OR via text depending on what you have chosen when you set up an Einstein Pediatrics account.   


    * If there are additional medical issues or problems you wish to discuss and have evaluated at the well visit, please call to set up the appointment and notify staff of these concerns.  We will do our best to accomodate the request.  The goal is to ensure that time is available to adequately address all of your concerns and perform the entirety of the well visit.

  • Technology

    Technology plays a big part in delivering good care and we embrace it at Einstein Pediatrics.  


    • We encourage you to consult our website and register for our patient portal where you can communicate with providers directly as well as have access to growth charts, vaccine records, provider notes, and lab results. 
    • We also use automated reminders for appointments and for routine care that is due. 
    • Telehealth or virtual visits are offered during office hours to make visits easier for problems like pink eye, talk about behavioral concerns, and or discuss and manage mental health issues like ADHD.
    • We encourage you to friend us on Facebook and Instagram where we regularly post educational content, update you on local health events, and answer parents' questions!  
  • Late & Missed Appointments

    We ask that you arrive 5-10 minutes prior to your appointment to give us time to check you in, confirm demographic info, verify insurance, and collect co-pays and balances.



    LATE TO APPOINTMENTS:  


    We understand that  things happen that may prevent you from arriving early or even on-time  We will do everything we can to be flexible and meet your needs, but we also need to keep other patients' and their appointments running on schedule.  If you arrive more than 15 minutes after your scheduled appointment time, it may be necessary to reschedule your appointment.


    MISSED APPOINTMENTS:  


    If you can not keep your appointment, we ask that you cancel PRIOR to your scheduled appointment to avoid a fee.  This allows time for others to take this appointment slot who want it. To encourage last minute no shows, we reserve the right to charge the following fees:


    • $25.00 charge for all missed nurse appointments(blood draws, vaccines), not cancelled  within 2 hours.
    • $50.00 charge for all missed sick appointments, not cancelled  within 2 hours.
    • $100.00 charge for all missed Well Care  or Consult appointments, not cancelled  within 24 "business" hours  prior to the appointment.  This means a Monday appointment would need to be cancelled by the prior Friday at 5 pm.  

    Multiple late or missed appointments may result in dismissal from the practice.  Thank you for your understanding.
